How to Write Professional Emails in Banking English (With Templates)

In banking, email is the main channel for client communication, internal coordination and the written record that compliance relies on. A clear email builds trust and prevents the misunderstandings that cost time later. Here is a structure that works, with three templates you can adapt today.

The 5-part structure of a professional banking email
1. Subject line — specific and action-oriented

- Meeting request: Q3 portfolio review
- Action required: KYC documents needed by 10 September
2. Salutation — match the formality of the relationship
- Formal: “Dear Mr Dupont,” / “Dear Sir or Madam,”
- Semi-formal: “Hello Sophie,” / “Good morning Thomas,”
3. Opening line — state your purpose immediately
Put the bottom line up front. The reader should not have to reach paragraph three to learn why you wrote.
- “I am writing to follow up on your mortgage application submitted on 15 August.”
- “Further to our call yesterday, please find the next steps below.”
4. Body — one idea per paragraph, bullets for anything the reader must act on
- Give the context in one or two sentences.
- List the required actions or documents as bullets.
- State the deadline explicitly — a date, not “soon”.
5. Closing and signature
- “Please do not hesitate to contact me should you require any further information.”
- “I look forward to your reply.”
- Signature: full name, title, bank name, phone, email.

Common mistakes to avoid
Vague subject lines (“Hello”, “Question”); long paragraphs with no white space; no clear call to action or deadline; an over-familiar tone with a new client (“Hey”, emojis).
